VERSION 4 Informational 4.7 December 21, 1999 Page 1 of 1 YEAR 2000 PREPAREDNESS As explained at the recent District Justice continuing education seminars, the AOPC's Information Technology staff believes we have taken measures to fully address any Y2K problems that could occur with the District Justice Automated System (DJS) as the system date rolls over to the year 2000. In that light, we have posted our Y2K readiness statement on our web site. We would be remiss, however, if we did not plan for disruptions that may have gone undetected or for those interruptions over which we have no control. Therefore, we have recently mailed a complete set of DJS forms to county court administrators. If you experience downtime and you need a form, you can obtain forms from your county court administrator. In addition, you can call the Help Desk and request forms to be faxed to you. As you know, some forms are available at Print Blank Forms on the Printer Functions Menu. Prior to 2000, you should print and retain an adequate supply of blank forms, including manual receipts and the associated log. In addition, please review the section entitled "Downtime" found on pages A4 and A5 in any of the District Justice Automated Office Clerical Procedures Manuals. When the system is available, you need to record all manual actions into the system. Warrants of Arrest (AOPC 417), particularly, need to be safeguarded and tracked. If you issued a manual warrant during downtime, you must recall the manual warrant and issue a system- generated warrant. Furthermore, you must record any manual warrant actions in case notes so that warrant actions associated with the manual warrant can be tied back to the system warrant. We want to stress that we do not anticipate any problems. Rather, our goal is to be prepared for any and all eventualities.
